At Linas Trading, we are committed to delivering premium agricultural and food commodities efficiently, safely, and reliably to our customers around the world. As a wholesale exporter based in the Netherlands, we specialize in bulk shipments measured in tons, using standard shipping containers and, when required, air freight services for time-sensitive or high-value consignments. This Shipping and Logistics Policy outlines our procedures, packaging standards, documentation practices, and customer guidelines to ensure a transparent and seamless delivery process.
All shipments from Linas Trading are dispatched only after full order confirmation and receipt of agreed payment terms. We work with the following internationally recognized payment methods:
TT (Telegraphic Transfer)
LC (Letter of Credit)
DLC (Documentary Letter of Credit)
Orders are processed once payment arrangements are verified. Production, packaging, and shipping schedules are then finalized in consultation with our logistics partners to meet customer timelines.
We understand that proper packaging is essential for maintaining product quality during transit. All products are packed using food-grade, export-standard materials suitable for long-distance transportation. Depending on the product type and destination, we use:
Moisture-Proof Bags: Protect cereals, spices, and seeds from humidity and contamination.
Heavy-Duty Polypropylene or Jute Bags: Ideal for grains, pulses, and nuts.
Palletized Shipments: Bags and cartons stacked on wooden or plastic pallets for ease of handling and loading.
Plastic or Wooden Crates: Used for delicate or semi-processed goods such as fresh produce.
Drums or Barrels: For liquids or highly sensitive commodities.
Vacuum-Sealed or Nitrogen-Flushed Packs: For premium or high-value products requiring extended shelf life.
All packaging complies with international phytosanitary regulations and food safety standards. Custom packaging and private labeling are available on request.
1. Ocean Freight
The majority of our bulk shipments are transported via sea freight using standard 20-foot or 40-foot shipping containers. Depending on customer requirements, we can arrange:
Full Container Load (FCL) for large orders.
Less than Container Load (LCL) for smaller consolidated shipments.
2. Air Freight
For urgent deliveries or perishable goods, we arrange air freight via major international airlines. This method ensures quick delivery and maintains the freshness of time-sensitive products.
We provide comprehensive documentation to ensure smooth customs clearance at the destination port. Typical documents include:
Certificates of Origin (detailing the product’s country of origin).
Phytosanitary Certificates (for agricultural products to certify pest-free status).
Export Health Certificates (especially for seafood and food items).
Bills of Lading (B/L) or Air Waybills (AWB).
Commercial Invoices and Packing Lists.
Inspection Certificates (if requested by buyer or required by destination country).
Insurance Certificates (if applicable).
All documentation is prepared in compliance with EU and international trade regulations.
We offer flexibility in shipping terms to accommodate our clients’ preferences and local regulations. Our standard Incoterms include:
FOB (Free on Board): We handle all costs up to loading at the port of origin.
CIF (Cost, Insurance, and Freight): We cover costs up to the port of destination, including insurance.
EXW (Ex Works): Buyer arranges pickup from our warehouse.
Other Incoterms can be arranged upon request, depending on customer requirements.
Linas Trading partners with reputable shipping lines and international freight forwarders to ensure timely and secure delivery of every order. Our logistics network allows us to:
Negotiate competitive freight rates.
Secure space on vessels or aircraft during peak seasons.
Track shipments in real-time for transparency.
Coordinate with customs brokers at both origin and destination ports.
This ensures our customers benefit from efficient handling, accurate documentation, and on-time deliveries.
We manage all necessary export and customs clearance procedures at the port of origin. Our experienced team ensures that each shipment meets:
EU food safety regulations.
Destination country import requirements.
Phytosanitary and health regulations.
We also work closely with local customs agents to streamline clearance at the destination port.
Lead times depend on the product, destination, and shipping method:
Ocean Freight (Europe to Africa/Asia): Typically 3–6 weeks.
Ocean Freight (Europe to Americas): Typically 4–7 weeks.
Air Freight: 3–10 days depending on routing and customs clearance.
We provide customers with an estimated delivery schedule during order confirmation and keep them updated throughout the shipping process.
We strongly recommend insuring all bulk shipments. Under CIF contracts, Linas Trading arranges insurance on behalf of the customer. For other Incoterms, insurance arrangements can be customized or left to the buyer. Our insurance policies typically cover:
Damage during transit.
Loss or theft.
General average and other marine risks.
All insurance certificates are issued in the buyer’s name for transparency.
To ensure a smooth delivery process, we advise customers to:
Prepare for Customs Clearance: Have all import permits, tax registrations, and necessary documentation ready before the shipment arrives.
Inspect Shipments Upon Arrival: Check for quantity, packaging integrity, and product condition in the presence of the carrier or customs authorities.
Report Any Issues Promptly: Notify Linas Trading immediately if any discrepancies or damages are found.
Adhere to Storage Guidelines: Follow recommended storage conditions to maintain product quality after receipt.
We maintain strict adherence to EU food safety standards, Good Manufacturing Practices (GMP), and Hazard Analysis and Critical Control Points (HACCP) systems. Every shipment is traceable back to its origin, and we provide batch codes or lot numbers for full transparency.
Linas Trading prioritizes clear and timely communication with customers throughout the shipping process. Once a shipment is dispatched, we provide:
Tracking details from our freight forwarder or shipping line.
Regular updates on the status of the shipment.
Proactive notifications in case of delays or port issues.
Our shipping and logistics policy reflects our dedication to reliability, safety, and efficiency in handling large-scale international shipments. By combining high-quality packaging, meticulous documentation, flexible Incoterms, and trusted logistics partners, we ensure our customers receive their goods in excellent condition and on time.
